Meeting by Telephone

When you meet with people by telephone, it takes a special effort to keep the meeting on track, include everyone, and make sure that everyone knows who’s speaking. Here are some suggestions:

• Send out a meeting agenda, questions to think about, and supplementary information ahead of time.

• Use people’s names when addressing them: “Andrew, what do you think about Marie’s idea for improving the . . .?”

• Keep a list of names in front of you so you can keep track of who is participating and who is not: “Sienna, we haven’t heard your ideas yet. What suggestion would you make for . . .?”

• Ask people to identify themselves when they speak: “This is Marie. I’m intrigued by Sienna’s idea. Sienna, can you tell us more about . . .?”

• After the meeting, summarize key points and send them out to participants.
